How to add a Credit Note to an Invoice

Navigating to Paid Invoices

  1. Choose the Payables option from the Navigation bar and select the Invoices from the drop-down menu.
  2. Choose Paid tab within the Invoices screen.
  3. Click on the required Invoice for which the credit note is to be added.


Adding a Credit Note to a Paid Invoice

For a user to add a Credit Note to a Paid Invoice, the user should be assigned the role of a Credit Note Initiator.

  1. Click on the More Actions button.
  2. Click on the Create Credit Note option from the drop-down menu.

  1. Choose the Policy and fill in the Narration/Purpose of creating the credit note.
  2. Click on the  Create Note button to create the credit note.

  1. Fill in details for Credit Note Number and Credit Note Date.
  2. Choose the Credit Note Type within  QTY change/Price Drop/GST change based on the type of credit note and fill in the details for the same.
QTY Change is used at instances of change in the quantity of goods due to damage or return post the payment of the invoice.  Price Drop is used at instances of variations in the price post the payment of the invoice and GST change is used during instances of variations in the tax slabs in invoices post the payment of the invoice.
  1. Click on the  Update and Submit Note button to submit the credit note for approval.

Approval Workflow

  1. After successful creation and submission of the credit note, it will be Submitted for Approval based on the Policy which is chosen while creating the credit note.


Applying a Credit Note

  1. Once the credit note is approved by the reviewers, the credits will be added to the vendor's account.
  2. The available credits for the vendor will be displayed during the creation of upcoming invoices.
  3. The available credits can be adjusted against the upcoming invoice by clicking on the Apply Credit button which is present below the Estimated total field in the invoice screen.


  1. Choose the required credit note from the credit notes screen.
  2. Click on Apply and Process button to apply the credit note to the invoice.
